Excel validation records for ISO/IEC 17025 laboratories

For one redacted uncertainty-budget workbook, I return a PDF prepared for your technical manager's review. It documents the file, independently checks the calculations the service supports, and states exactly what still requires laboratory review.

When this is useful

Your laboratory relies on an Excel workbook for an uncertainty budget, but the evidence around that workbook is incomplete, scattered or stale. You may know that it calculates. The harder questions are whether its requirements are written down, whether expected results were derived independently, which sheets were actually tested, and what remains unestablished.

The deliverable is that evidence record. It is not a certificate and it is not a claim that the entire workbook passed.

What you receive

The record is structured around the NIST GLP 15 Software Verification and Validation form. All 47 checks appear. Thirty are designed to use file evidence, but the number answered depends on the workbook. Checks requiring procedures, passwords or human judgment remain assigned to the laboratory.

The PDF puts the conclusion first and the evidence behind it:

  1. Summary and actions: what was found and what the laboratory must decide or correct.
  2. File and coverage map: file hash, worksheets, formulas and the calculations actually tested.
  3. Requirements, tests and findings: independent expected results, boundary cases and identified differences.
  4. NIST coverage and signature: unanswered items remain visible for your technical manager to complete and sign.

A machine-readable results CSV accompanies the PDF so the evidence can be stored, compared and reverified later.

How the work happens

You make a working copy of the workbook. Remove customer identifiers and unrelated results, but keep every numeric input used by a formula, along with the formulas, labels and workbook structure. We agree on transfer and retention in writing, you send the copy and the relevant scope, and I confirm within one business day whether the file is readable. The record comes back within ten business days, as a PDF with a results CSV. From there the requirements, the metrology judgment and the authorization decision stay with your laboratory.

Workbook analysis stays local and workbook content is not sent to AI tools, cloud analysis services or outside contractors. New technical cases are reproduced in synthetic workbooks without customer content. I can review your NDA first, and deletion can be confirmed in writing after the agreed retention period.

Current arithmetic coverage

The arithmetic engine currently recognizes row-based uncertainty budgets and linear calibration calculations. Other workbook conventions still receive file, formula, integrity, protection and NIST coverage checks, but no arithmetic pass when the calculation was not evaluated.
